What is Media Manager?

Media Manager is a Salesforce-native workspace for working with files directly on record pages. It lets users preview images, documents, and videos; organize and find content; make quick image edits; and perform actions like sharing, downloading, and versioning without leaving Salesforce.

Why is it better than standard file management?

Media Manager keeps users in flow by bringing common file tasks into the record context. It supports rich previews, configurable views, admin-controlled actions, and cross-record visibility with File Tree. It reduces downloads, tab switching, and repetitive clicks that slow teams down.

Advantages

  • Users can view, edit, convert, and act on files without leaving the current record.

  • Admins can enable or restrict actions to match policy and governance needs.

  • Views adapt to different jobs: Tile and Slider are visual; List supports sorting and inline edits.

  • Cross-record navigation with File Tree helps users work across related records quickly.

  • Custom Folders and Group By give teams consistent organization patterns that scale.

Limitations

  • Some actions are view-specific and may not appear in every view.

  • Community users usually have restricted capabilities based on configuration and sharing.

  • Very small files may not compress further; some file types do not support image edits.

  • Very large files or very high counts per page can affect load and preview performance.

  • Certain advanced actions depend on your Salesforce permissions and admin setup.

Who is it for?

  • Admins: Configure features, actions, defaults, and guardrails for each use case.

  • End Users: Preview, organize, edit, and share files directly within their daily workflow.

Prerequisites / Quick setup checklist (Admin)

  • Install the package and assign the required permission sets.

  • Create a configuration with sources, default view, and enabled actions.

  • Decide if File Tree, Group By, and Custom Folders are required for the use case.

  • Configure Row Actions and List Actions, including any Flow/LWC actions.

  • Place the component on the relevant Record, Home, or App pages.

  • Validate behavior with a pilot group and adjust limits or actions as needed.

Navigation & UI Basics

  • View switcher: Switch between Tile, List, and Slider based on the task at hand.

  • Left panel: Use File Tree or Folders (when enabled) to move across related records or folders.

  • Top bar (List view): Search, filter, and perform list actions such as upload, bulk download, or bulk delete.

  • Row actions: Open per-file actions like Edit Image, Convert HEIC to JPG, Upload New Version, Share, or custom Flow/LWC.

  • Preferences: Save personal view and filter preferences when enabled by your admin for your File Browser.

  • Missing actions: If you do not see an action, it may be disabled in your configuration or restricted by your permissions.
